Offline applications and walk-ins: plan before you travel

A practical checklist for postal forms, interview documents, reporting times and travel from the Northeast.

01

Postal, email and walk-in are different routes

Some recruitments require an online form; others ask for an email, a posted envelope or attendance at a walk-in interview. Do not substitute one route for another. Download the prescribed form from the official notice and read whether a preliminary email or registration is also required before the interview.

For a postal application, ‘must reach by’ normally concerns receipt at the named office, not the day you hand it to the post office. Follow the notice’s exact delivery instructions, including ordinary post, speed post or registered post where specified. Allow time for weekends, holidays and transport disruptions; do not assume the office will excuse a delay.

Quick check

  • Correct post and advertisement reference on the form and envelope
  • Exact addressee, department, address and PIN from the notice
  • Required signatures, attachments and the specified delivery method
02

Prepare a document pack, not just a CV

A CV rarely replaces a prescribed application form. Make a notice-specific checklist: identity or date-of-birth proof, marksheets, qualification certificates, experience evidence and applicable category certificates. Take originals only where the notice requires verification; do not post originals unless the issuing institution expressly instructs you to do so. Keep your own copy of everything submitted.

The Tezpur University Project Associate-I notice dated 15 October 2026, for example, asks walk-in candidates for Annexure I, a recent signed CV, originals and self-attested copies of the stated records. It also requires an NOC for employed candidates or those doing a PhD. These are requirements of that particular notice, not a universal checklist for every interview.

Quick check

  • Read every page, including the application annexure
  • Check whether photographs, self-attestation or an NOC are required
  • Use the notice’s specific essential qualifications; a generic form field does not add a new qualification rule
03

Treat reporting time as a real deadline

A walk-in date is not an invitation to arrive at any time that day. Check the reporting time, department and campus—not just the town. Plan a buffer for finding the venue and document verification. If you need to travel far, check the official board for a change before booking and again before departure.

The Rajiv Gandhi University Horticulture Project Assistant notice dated 16 October 2026 specifies its department, date and time, and says no TA/DA will be paid for interview or joining. Where travel reimbursement is not offered, budget for travel, food and possible accommodation yourself. An interview invitation, portal listing or completed document check is not an appointment offer.

Quick check

  • Interview and any advance registration are both still open
  • Venue and reporting time copied from the latest official notice
  • Travel cost and return journey planned without assuming reimbursement
04

Keep your records and follow the next update

For email applications, use the required subject line, attach readable files and retain the sent message. For postal applications, retain the receipt and delivery evidence where available. For walk-ins, carry an extra copy of your document list and note any acknowledgement provided. Proof of dispatch or attendance does not establish eligibility or selection.

After submission, check the institution’s own page for shortlist, schedule or result notices. Do not share OTPs, pay a ‘confirmation’ fee to a personal account, or surrender original certificates to an unverified intermediary. If the notice is unclear, contact the institution using contact details on its official website. We can correct our summary, but only the recruiting institution can clarify or change its rules.
